Digital Transformation × Kaizen

Workshop for organisations / TAILORFIT LEARNING

Invest where work gets stuck. Find the fix before buying another system.

You have systems, yet work still waits, returns for rework and ends up with you?

Practise improving the process and choosing digital support that fits the actual bottleneck.

Know who you will work with and what is included

We match facilitators and specialists to the challenge and learners. The proposal identifies the delivery team, roles, activities and scope before agreement.

Evaluate value using your own work

Measure waiting, rework, end-to-end cycle time and total cost before expanding the investment.

Include workshop fees, learning time, tools and human review. The value of released capacity is not automatically a cash saving.

Calculation example — hypothetical figures

Illustrative numbers: reduce re-entry in customer requests

A fictional calculation, not a client result or guarantee. Verify your own baseline and service quality before investing.

Re-entry and correction time

60% less

200 requests × 15 minutes = 50 hours a month. Trial target: six minutes each, or 20 hours monthly, including review.

Value of capacity released

THB 144,000/year

Thirty hours a month × an assumed THB 400 loaded labour cost an hour × 12 months. This is capacity for customer work, not cash savings or guaranteed profit.

Time from request to response

40% less

An illustrative average of five working days could become three, counting the full journey rather than shifting the wait elsewhere.

How to verify it: time the work and log rework for at least two weeks, trial one request type for four weeks, then compare total effort, customer waiting, errors and system/support costs.

Questions before deciding

How much time is needed?

1 day: identify waste and draft a before-and-after map from a sample case. 2 days: walk your process, design a Kaizen trial and choose digital help where it adds value.

What prior knowledge does the team need?

We discuss participants’ experience, roles and challenge before agreeing the activities. Bring one process, monthly volume, rough time by step and shareable examples of rework. No real customer records are needed in the room.

Do we need company data?

Begin with sample data or examples you can share. Live data, permissions and tools must be agreed under your organisation’s requirements.

What determines the cost?

Fees depend on the challenge, participants, duration and outputs. Also consider tool costs and your team’s implementation time. System deployment or managed operations are not automatically included.

Who follows through after the workshop?

The four-week pilot plan is an output for your team to use; four weeks of follow-up services are not automatically included. Your organisation assigns owners to test and measure the work. Additional services require a separate agreement.

Compare this with your team’s situation

The new customer-request system is live, yet branch staff still write details on paper, enter them into a spreadsheet and move them into another system at day-end. Managers ask for status in chat. Customers still wait days for an answer. The screen changed, but the handoffs did not—and frontline effort went up.

Illustrative scenario, not an actual client case

Explore the approach to this scenario

Useful transformation begins with the work, not a technology shopping list. With Kaizen, we listen to frontline staff, follow one request end to end, separate hands-on time from waiting, find re-entry and rework, then decide what to remove, redesign or support digitally.

Suppose the team handles 200 requests a month and spends 15 minutes each on duplicate entry and corrections: 50 hours monthly. A better process that reaches six minutes would release 30 hours a month. But we must also check whether customer waiting and errors improve, rather than shifting the burden to another team.

IN THE ROOM

What we practise together

Participants map a fictional Thai-company case, then compare its assumptions with shareable facts from their own process. At each stage they decide what is waste, what control is essential, and how to test a small change without disrupting customers.

  1. Illustrative Thai team mapping the full customer-request journey
Illustrative scene, not actual participants or clients
    01

Follow a request from customer to response: map hands-on time, waiting, handoffs and ownership at every step.

  2. Illustrative Thai team finding waiting, duplication and rework
Illustrative scene, not actual participants or clients
    02

Find causes of waste: measure duplicate entry, rework, queues and conflicting information; listen to frontline staff before deciding what to remove.

  3. Illustrative Thai team redesigning steps before choosing tools
Illustrative scene, not actual participants or clients
    03

Redesign before choosing technology: test removing non-value steps, capturing data once and keeping essential checks; select digital help only where it serves the new flow.

  4. Illustrative Thai team reviewing a process-improvement pilot
Illustrative scene, not actual participants or clients
    04

Plan a small four-week trial: set baseline, owner, scope, measures for waiting and errors, costs, and criteria to revise or stop.
